Your personal details

We collect:

 

  • Your name, email address, phone number and location, location history and IP address. Where you undertake a trial of our software we may also collect your company email address and direct dial to receive your feedback on the software.

Why? – We collect your personal data to perform our obligations under the contract we enter with you or your employer. We collect your feedback on the basis of our legitimate interest to update and progress our software in line with your comments.

 

  • When you use the platform we also collect Login information, time zone setting, browser plug-in types and versions, operating system, platform, IP addresses, MAC addresses & social media handles.

Why? – We collect this on the basis of our legitimate interest to ensure we deal with your queries quickly and efficiently, as well as understand how you interact with us.

In some circumstances we may carefully anonymise your personal data so that it can no longer be associated with you, and we may use this anonymised information indefinitely without notifying you. We use this anonymised information to analyse our programmes and support other similar programmes around the world.

Please keep in mind we are a Data Processor over your personal data, and you should review your employer’s privacy policy, who will be the Data Controller.

How do we collect your personal data?

  • Analytics and search engine providers to assist us with the improvement and optimisation of our site.
  • Via publicly accessible sources including your employer’s website or your social media profile.
  • If you use our WiFi, login information, time zone setting, browser plug-in types and versions, operating system, platform, IP addresses & MAC addresses under our legitimate interest to ensure our WiFi is secure and being used effectively 
  • From our Customers where you are an End User.

How long do we retain your personal data?

We have set out below our specific retention periods for the various types of personal data we hold:

Sales Records 6 years after our last interaction with you
Purchase Orders 6 years after our last interaction with you
CV’s and unsuccessful job applications 6 months from the date of notification that the application was unsuccessful unless a job applicant privacy notice has been signed, every 12 month.
VAT/Tax records 6 years after our last interaction with you
Location data Throughout the trial or contract. Automatically deleted after 30 days or upon request, whichever is sooner.

Who do we share your personal data with?

  • Business partners, suppliers and subcontractors for the performance of the contract we enter into with them or you. 
  • Analytics and search engine providers to assist us with the improvement and optimisation of our site.
  • Promotional events and marketing organisations, we do not sell data for marketing purposes, but may share your data with an event organiser. We will always tell you before (usually on the event registration form) and you will be given the chance to opt-out before we do this. 
  • Prospective buyers of and investors in our business.
  • Regulators/ Authorities/ Enforcement Agencies if we are under a duty to disclose or share your personal data in order to comply with any legal obligation, or in order to enforce or apply our terms of use and other agreements; or to protect the rights, property, or safety of our clients, our experts or others. This includes as part of our annual ISO27001 certification review, to ensure the security of your data. 
  • Legal and financial advisers.

What rights do you have?

You have various rights under Data Protection Laws, including the right to:

  • ACCESS: You can request access to and obtain a copy of your personal data (this is known as a “Data Subject Access Request” or “DSAR”);
  • RECTIFICATION: You can correct incomplete or inaccurate data we hold;
  • ERASURE: You can ask to erase the personal data we hold about you;
  • RESTRICT: You can ask us to restrict how we handle your personal data;
  • PORTABILITY: You can ask us to transfer your personal data to a third party; &
  • OBJECT: object to how we are using your personal data.

 

You also have the right to lodge a complaint with us or the Information Commissioner’s Office, the supervisory authority for data protection issues in England and Wales. Please keep in mind that Data Protection Law is complicated and these rights will not always be available to you all the time.

Track 24 is based in the United Kingdom and all personal data is stored through AWS in the United Kingdom.
